Finance and Administrative Assistant –Language Services

Access Alliance Multicultural Health and Community Services (AAMHCS) aims to provide services
and to address system inequities to improve health outcomes for the most vulnerable immigrants,
refugees, and their communities. The Centre envisions a future in which Toronto’s diverse
communities achieve health with dignity.
AAMHCS’s Language Services is looking for a dynamic and responsive individual with a broad skill
base for the Finance and Administrative Assistant position. This role is primarily responsible for all
accounts receivable and interpreter compensation processes and for supporting the Language
Services team in administrative tasks. The successful candidate will be creative and innovative, and
will follow through on tasks and projects in a responsive, adaptable, and personable manner.
RESPONSIBILITIES:
Oversee and process accounts payable and receivable for Language Services
Process interpreter encounter forms
Create and prepare service statements for interpreters. Calculate HST payable as applicable.
Generate data for annual T4A statements.
Prepare Excel spreadsheets for upload to online platform for direct deposit payments to
interpreters.
Maintain/establish a comprehensive and accessible financial filing system, perform routine file
backups and financial record archives;
Generate and maintain client service statement for billing, using multiple applications including
QuickBooks
Manage and ensure data integrity of vendor and customer contact databases
Post current invoices and include past-due invoices when necessary
Respond to phone calls and emails and address billing inquiries from both interpreters and clients;
escalate to appropriate team member(s) as required.
Generate reports for clients on a quarterly and as-needed basis.
SKILLS AND QUALIFICATIONS
Post-secondary education in related field (community college diploma)
Minimum 2-3 years’ of related accounting experience, such as general ledger, accounts
receivable, accounts payable, budget development, and payroll
Demonstrated strong computer software skills; MS office applications, MS Excel and MS Access are required
Experience in QuickBooks and QuickBooks APIs is an asset.
Excellent at executing administrative and clerical functions independently and efficiently
Keyboarding accuracy and speed required
Excellent planning, time management, and organization skills

Excellent attention to detail required
Excellent interpersonal skills. Able to work well independently or in a team environment
Superior multitasking and problem solving skills within a fast-paced environment
Comfortable performing difficult and responsible clerical work and administrative duties
involving use of independent judgment, discretion, and confidentiality
Demonstrated ability to work effectively in a diverse, team-based environment
Ability to prioritize work appropriately and work to deadlines
An eye for details, ability to identify discrepancies, and problem solving skills
Proficient at making routine arithmetical calculations with speed and accuracy; prioritizing and
scheduling workload to ensure completion when faced with deadlines or emergencies
Knowledge of anti-oppression principles
Excellent interpersonal skills with clients in a culturally diverse practice population, and with
colleagues
Second language, relevant to catchment area populations, is an asset.
Salary range: $49,972- $60,208 per annum
Hours: Full-time (35 hours per week)
Bargaining Unit Position: UFCW, Local 175
